Privacy Policy

NailTheTime (“we”, “us”, “our”) is a scheduling service operated by NailTheTime. This policy explains what data we collect, why, and how we protect it.
What we collect
- Host email address: Required for authentication and sending poll results and calendar invites.
- Participant names and emails: Optional, provided voluntarily when voting. Used only to send calendar invites.
- Vote data: Your availability selections (Yes, If Needed, No) for proposed time slots.
- Browser fingerprint: A hash used only to prevent duplicate voting. Not used for tracking or advertising.
- Chat messages: Conversations with our AI assistant are stored to maintain your session. They are not used for training AI models.
Calendar and video account data
When you connect Google Calendar, Microsoft Outlook, Zoom, Google Meet, or Microsoft Teams, we request only the permissions needed to operate the service:
- Calendar read access: To check your availability and suggest conflict-free time slots.
- Calendar write access: To add the final scheduled event directly to your calendar.
- Video meeting creation: To auto-generate a Zoom, Google Meet, or Teams link when a time is decided.
OAuth tokens are encrypted at rest using AES-256-GCM. We never store your calendar or video account passwords. You can disconnect any connected account at any time.
How we use your data
- To operate the scheduling service and deliver poll results
- To send calendar invites when a meeting time is decided
- To send authentication emails (magic links)
- To check calendar availability when you connect an account
- To create video meeting links when requested
What we don't do
- We don't sell your data to anyone
- We don't show ads
- We don't track you across websites
- We don't share data with third parties for marketing
- We don't use your data to train AI models
- We don't read your calendar beyond checking free/busy times
Third-party services
We use the following services to operate NailTheTime:
- Anthropic (Claude): AI assistant for poll creation. Conversations are processed but not stored by Anthropic for training.
- Resend: Transactional email delivery for invites and authentication.
- Neon: PostgreSQL database hosting. Data encrypted at rest.
- Vercel: Application hosting and CDN.
- Upstash: Redis caching and background job processing.
Data retention
Poll data is retained for 90 days after the poll deadline, then permanently deleted. Connected account tokens are deleted when you disconnect the account. You can request deletion of all your data at any time by contacting us.

You can:
- Request a copy of your data
- Request deletion of your data
- Disconnect any connected calendar or video account
- Opt out of non-essential emails
